SharePoint Online is a cloud-based collaboration platform offered by Microsoft as part of its Office 365 suite of productivity tools. It’s used for document management, team collaboration, and content sharing. Here are some key points about SharePoint Online.
It is possible to provide a single document portal, segmented by area and with access hierarchy. For example, the finance team can have access to all unified work files, whether via PC, tablet or mobile phone, regardless of the employee’s location. The procurement area, on the other hand, can only have access to files relevant to their area. If any change, the entire team can be notified and works with the latest version of the document.
The Office 365 platform is entirely cloud-based, meaning the company will not have to worry about acquiring and maintaining servers, electricity costs or hardware depreciation. Scalability is also another advantage, as the company can grow in the number of users without worrying about hardware upgrades.
The location of the employee and the device they are using is no longer a problem. Whether or not the company chooses the home office, whether to provide equipment or not, the platform is transparent and everything continues to work normally.
The Office 365 platform enables security levels such as 2-factor authentication, recycling bin for file recovery, data encryption, security alerts, among other tools so that regardless of the employee’s physical location, the company can guarantee data security and privacy.
All application version updates and security patches are applied by the platform to all users automatically. The need of the Information Technology team to update the version of SharePoint, or the company to acquire new versions of the product is no longer necessary.
Microsoft adds new features monthly! This is a perfect approach because we don’t have to wait 2-3 years for new types of sites or web parts.
